Miles Architecture is seeking a highly organized and dependable Executive Assistant to support its executive leadership. This critical role ensures the smooth and professional operation of the firm, requiring exceptional communication skills, sound judgment, and a proactive approach to managing priorities and sensitive information.
The ideal candidate excels in a dynamic, fast-paced environment, maintains unwavering attention to detail, and demonstrates grace under pressure. Responsibilities include managing complex scheduling, handling high-level correspondence, and overseeing key administrative functions. The Executive Assistant will serve as a trusted liaison between leadership, staff, clients, and external partners.
Key Responsibilities

Manage complex calendars, appointments, and meeting logistics for the firm’s executive leadership.

Draft, review, and edit correspondence, reports, and presentations with precision and professionalism.

Serve as a primary point of contact for internal and external communications, ensuring clarity, accuracy, and confidentiality.

Coordinate travel arrangements, itineraries, and related documentation, including expense reports.

Maintain records, files, and sensitive information with the highest degree of discretion.

Support leadership in preparation for meetings, presentations, and client engagements, including compiling data, briefing materials, and follow-up actions.

Anticipate needs and proactively resolve scheduling or communication challenges.

Represent the firm and leadership with professionalism and integrity in all interactions.

Assist with special projects and coordinate with other departments or external stakeholders to ensure tasks are completed efficiently.

Support the adoption and use of digital tools and workflow systems to improve team efficiency.

Handle phone calls, emails, and mail; screen and respond to messages; and draft letters and other documents.
Qualifications & Skills

Proven experience supporting senior or executive leadership in a professional environment.

Outstanding written and verbal communication skills.

Exceptional organizational and time-management abilities.

Demonstrated discretion and sound judgment in handling confidential or sensitive matters.

Proficiency in Microsoft 365, including PowerPoint and Excel, and collaboration tools (Teams, SharePoint, OneDrive).

Ability to manage multiple priorities and deadlines with accuracy and composure.
